TIP 1: Decide How to Allocate Your Budget in Cambridge

Typically we see that corporate event planners start with their venue and work from there. But if you haven’t picked out your event’s venue yet, here are a few of our favorites:

High-budget venues in Cambridge, MA
  1. The Charles Hotel – Nestled in the heart of Harvard Square, this prestigious hotel offers elegant event spaces that blend sophistication with New England charm.
  2. The Harvard Club of Boston – An exclusive venue offering luxurious event spaces with a touch of historical prestige, ideal for upscale corporate events.
  3. The Royal Sonesta Boston – Located along the scenic Charles River, this venue combines modern elegance with stunning views, perfect for high-profile events.
Budget-Friendly Venues in Cambridge, MA
  1. Cambridge Public Library – A beautifully designed space offering a variety of meeting rooms and auditoriums, suitable for both small and large gatherings at an affordable rate.
  2. MIT’s Morss Hall – Part of the Massachusetts Institute of Technology, this venue provides a versatile space for events, catering to those seeking an intellectual ambiance on a budget.
  3. The Democracy Center – A quaint, nonprofit community space in Harvard Square, offering affordable rental options for smaller, more intimate corporate gatherings.

Pros and Cons of Investing in a Venue Local to Cambridge

Pros:

  • Prime locations that are more accessible for guests using public transportation than venus in the surrounding suburbs.
  • High-end venues often provide comprehensive services including catering and tech support, streamlining your planning process.

Cons:

  • Premium venues within Cambridge city limits are often several times more expensive than smaller venues (such as a Knights of Columbus hall) in the neighboring Boston Metro areas, and can leave less money for every other aspect of your event.

Pros and Cons of Investing in a High-Budget Magician

Pros:

  • A top-tier magician can provide a unique and unforgettable experience, leaving a lasting impression on your attendees who have often only seen magic on TV.
  • All entertainment (including magic) are often able to customize guests’ experience more than a venue or caterers, and can more directly help you reach your event goals.

Cons:

  • High-budget magicians may limit your ability to allocate funds to other aspects of the event, such as venue, catering, and additional entertainment.

TIP 2: Decide on Your Event Goals

Understanding your event’s goals is crucial to determining the right entertainment mix. Are you aiming to foster team building, entertain clients, or celebrate a company milestone?

Narrow vs Wide Focus of an Event:

  • A narrow focus, such as team building or promoting a specific product, can likely be worked into any magician’s performance at your event. An experienced magician will likely be able to incorporate your goals, either directly or in-directly.
  • A wider focus, like event entertainment, will leave a magician more open as to what to include in their act, and will leave you with more options as to which magician to work with.

Age-Range Entertainment:

  • Corporate events typically cater to adults, but it’s important to consider the variety within this demographic to select the most appropriate magician.
  • For example, mentalism / mind-reading isn’t generally suitable for younger children who might find even a simple mind-reading trick scary or invasive. Likewise, a kids’ comedy performer wouldn’t be a good fit for adults.

Discussing with an Entertainment Agent:

  • A seasoned entertainment agent can guide you in choosing a magician that aligns with your event goals and audience demographic. They can offer insights into different magicians’ specialties and how they can enhance your event.

TIP 3: Decide Whether You Want Strolling Magicians or a Stage Show

Strolling Magicians: Personalized Engagement

Strolling magicians excel in creating intimate moments of wonder, moving among guests to perform close-up magic that often involves audience participation. This format is perfect for events where fostering personal connections and interactive engagement is key. The direct interaction not only breaks the ice among attendees but also leaves a lasting impression through personalized experiences. Whether it’s transforming a simple cocktail hour into a series of enchanting encounters or adding a magical touch to smaller, more informal gatherings, strolling magicians bring the magic directly to your guests, making each interaction uniquely memorable.

Magic Stage Shows: A Spectacular Group Experience

On the other hand, stage shows offer a grand spectacle, bringing attendees together for a shared entertainment experience. This format is ideal for larger corporate events where the goal is to captivate and amaze the audience with a central performance. Stage shows often feature more elaborate illusions, storytelling, and dramatic effects that require the collective attention of the audience, creating a sense of community and shared astonishment. These performances can act as a highlight of the evening, providing a talking point for guests and a climactic addition to the event’s agenda.

Matching the Entertainment to Your Event’s Ambiance

The choice between strolling magicians and stage shows should be informed by the size of your event, the venue, and the desired atmosphere. Intimate venues or events aimed at networking and personal interactions are well-suited to the bespoke charm of strolling magicians. In contrast, stage shows are best suited for larger spaces or events where a central focus point can enhance the collective experience.

Ultimately, understanding your event’s goals—whether aiming to foster personal connections among attendees or to provide a grand, unifying spectacle—will guide you in choosing the right entertainment format. Both strolling magicians and stage shows have the power to transform your corporate event, but aligning their unique strengths with your event’s objectives is key to unlocking an unforgettable magical experience for your guests.

TIP 4: Ask Your Magician the Right Questions

To ensure the magician fits your event perfectly, here are some key questions to ask them or their agent:

  1. Are you insured? Typically, a magician will be insured up to $1 million per incident.
  2. Do you have experience with corporate events? A magician specializing in kids’ birthday parties may be extremely talented in their niche, but typically you want to work with someone who has experience working a larger (and more diverse) audience.
  3. Can you customize your acts to our event theme or goals?
  4. How many magicians do you have at your company? Most agencies will represent multiple magicians, and even one-magician solo performers will know others. Don’t go with the first magician you find,  but rather the one that meets your events’ goals and vision the best.
  5. What other options do you offer for corporate event entertainment besides magic? Some agencies will have entertainment that might fit your goals better than a magician (or work well along side of magic), but that you hadn’t considered previously. Ask what other options they have to make sure there’s nothing you’re missing.

The answers will help you gauge their professionalism and adaptability to your specific needs.

TIP 5: Prioritize Accessibility Amidst Cambridge’s Diverse Weather and Cityscape

Cambridge’s varied climate and unique urban characteristics necessitate thoughtful planning for accessibility in all seasons:

  • Spring and Fall: With mild temperatures, these seasons are perfect for leveraging Cambridge’s accessible indoor and covered outdoor venues, ensuring comfort and ease of access for everyone.
  • Summer: The warmth invites outdoor events, but remember to select locations with accessible shade, cooling options, and easy access for those with mobility concerns, keeping in mind Cambridge’s historic sidewalks and public spaces.
  • Winter: The chilly season requires indoor venues that are not only warm but also highly accessible, considering the potential challenges posed by snow and ice on Cambridge’s streets and pathways.

Incorporating entertainment that is adaptable to these settings ensures that all guests, regardless of mobility or other accessibility needs, can fully enjoy the event in comfort and safety.

TIP 6: Explore Entertainment Options other than (or with) a magician

Consider complementing your magician with additional entertainment:
